Med Spa Membership FAQ: Clear Answers for Your Front Desk

A client likes the idea of joining, but wants to know what they get and how the plan works. Give your desk one clear answer sheet instead of a new sales pitch each time. This med spa membership FAQ template helps staff explain the offer and handle questions after someone joins.

Sell the value without making clients guess

Start with the benefit the person wants: an easier way to plan regular visits, use included services or get the member rate. Then explain the recurring charge and the terms that matter before they join.

Fill in the examples with your approved terms. Have the person who owns the plan check the sheet before staff use it. It is an explanation tool, not a replacement for your membership agreement. Day spas can use the same sheet for facial or massage plans.

Seven membership questions your desk should be ready to answer

  1. What do I get, and what costs extra?

    Separate an included visit from a discount or a credit toward a visit. If a benefit covers one service length or location, say so. “Member pricing” should not sound like everything is included.

  2. When will I be charged?

    Your first charge is [Amount and Date]. After that, the plan renews [Schedule] at [Amount]. [Minimum Term, if Any]. The joining and renewal terms are here: [Terms Link].

    Explain any joining fee and when benefits begin. Do not describe a recurring plan as a one-time package. Use the terms for the version of the plan the client is choosing, not an old offer.

  3. What happens if I do not use a benefit?

    Unused [Visits or Credits] follow this rule: [Exact Rollover and Expiry Terms]. I can check what is available on your plan and help you find a visit that fits.

    Never promise that credits last forever, roll over or turn into cash unless the actual terms say so. For an existing member, check their record before naming a balance or expiry date.

  4. How do I book a member visit?

    You can book through [Booking Method] or ask us for help. [How the Member Benefit Is Applied]. Appointments depend on availability, so let us know which days suit you.

    Explain any booking limits, provider choices and late-change terms. Do not promise priority or reserved times that the plan does not include. A booked member needs a confirmation, not another invitation to join.

  5. Can I pause or cancel?

    Make the request path easy to find. A clear cancellation request is not an invitation to delay it with sales messages. Record when it arrived, follow the applicable terms and give unresolved questions an owner. Do not call a request complete until it has been processed.

  6. Can I use a promotion or share my benefits?

    For this plan, [Promotion-Combining Rule] and [Sharing or Transfer Rule]. I’ll check the specific offer with you so we use the right terms.

    Keep referral rewards, gift cards and membership credits separate. If an exception needs approval, say who will answer and when. Do not promise a refund, transfer or extra discount on the spot.

  7. What if a service is not right for me?

    Our clinical team decides whether a medical treatment is suitable. Membership does not change that. I can connect you with the right person and check the plan’s options for [Approved Alternatives, Credits or Refund Review].

    Do not recommend treatment timing or a different medical service to use up a credit. Send health questions through the approved private channel. For a day spa, have the qualified service provider handle questions about what is suitable.

A one-page membership answer sheet

Keep this beside the current plan details. Use one sheet per plan, with a link to the full terms. Leave unknown terms marked for review rather than letting staff fill the gaps from memory.

Example: a question about an unused visit

A member asks whether last month’s unused benefit is still available. The desk checks the plan version and client record before replying. If the answer is unclear, staff save the question and assign it to the plan owner.

The next shift can see what was asked, what was checked and when an answer was promised. Once the balance is confirmed, staff explain the options and help with a booking. They do not guess at a credit to close the conversation.

Before your team uses the sheet

At the next team meeting, ask which question keeps coming up. If clients keep asking whether a visit is included, fix the offer page as well as the script. Clear answers at the start mean less back-and-forth later.
